Hedy for Teams: A Privacy-First AI Meeting Assistant for Teams
Hedy for Teams gives teams of 2 to 200 on-device transcription, a US or EU data region, and meetings admins can't open, plus shared Team Topics.
Plenty of AI meeting assistants have a team plan. The harder question for a company is where its conversations end up once everyone starts using one. Hedy has spent the past year answering that for individual users: on-device transcription, an EU data region, and AI that can run entirely on your own hardware. Hedy for Teams lets a company make those choices once, for everyone who joins.
Privacy controls set once for the whole organization
Data region
When you create the organization, you choose where its data lives: the United States or the European Union. The choice is permanent, and everyone you invite inherits it. In the EU region, supported storage and AI processing stay in the EU. Account login and billing infrastructure stay US-based. How EU storage works is covered in the data residency article.
On-device transcription
Hedy transcribes on each member’s device by default, and conversation audio never reaches Hedy’s servers. No bot joins the call.
Cloud Sync policy
Owners and admins choose one rule for the company. Members can decide for themselves (the default), sync can be always on, or always off. With sync always off, new Sessions stay on members’ devices.
AI processing
Hedy’s cloud AI partners process requests inside your organization’s data region, and they don’t store session information or use it to train models. On a capable Mac, Windows PC, iPhone, or iPad, a member can run the whole analysis on their own device instead with Local AI Processing.
Audits
Hedy has completed an independent SOC 2 Type I examination of its security controls and an independent HIPAA assessment.
Admins don’t get a back door
Admins manage people, seats, and billing, and that’s the extent of their access. They can’t open anyone’s private Sessions, transcripts, notes, or personal Topics. There’s no employee scoring and no manager-only view of individual conversations.
Sharing works Session by Session. A Session reaches the team only when the person who recorded it assigns it to a Team Topic, and only they can take it out again. Your chat with Hedy and your audio are never shared. When someone leaves the organization, their Sessions drop out of the team’s Topics. The full detail is in the team privacy and Cloud Sync article.
Team Topics: shared context for the meetings that matter
In Hedy, a Topic groups related Sessions, like every meeting with one client or on one project. A Team Topic is a Topic your whole organization shares.
When you assign a finished Session to a Team Topic, everyone on the team can read its transcript, recap, notes, and to-dos. Each person also gets their own private chat on the Topic, where Hedy answers from the newest 25 Sessions in it, whoever recorded them.
That’s what makes a handover fast. A new account manager can open the client’s Team Topic, read the last few calls, and ask Hedy “What did they push back on so far?” before their first meeting, instead of piecing it together from hallway conversations over a month.
Team Topics need Cloud Sync, because teammates read shared Sessions from the cloud. They aren’t available when the organization sets sync to always off.
Seats and billing in one dashboard
The owner sets up the organization at web.hedy.ai, picks between 2 and 200 seats, and pays by card. From the same dashboard, owners and admins:
- Invite people by email as a member or an admin
- Assign, remove, and reassign seats
- Remove or reinstate members
- See the prorated cost of a seat change before anything is charged
- Download invoices
Members don’t need anything new. They sign in to the regular Hedy apps on iPhone, iPad, Android, Mac, Windows, or the web, and get everything Hedy Pro includes. That means live suggestions in their own meetings, transcripts, recaps, and personal Topics. The setup guide walks through creating the organization and inviting people.
Pricing
Hedy for Teams costs $12.99 per seat per month or $99.99 per seat per year, in US dollars plus applicable tax. That’s the same as Hedy Pro. The launch price stays locked in for as long as your subscription stays active.
There’s no free trial for Hedy for Teams. If you want to try Hedy first, use the free plan with a personal account, then set up your team with a different email address. See the Hedy for Teams page to get started.
Frequently asked questions
Can a team keep its Hedy data in the European Union?
Yes. The owner chooses the EU region when creating the organization, and supported storage and AI processing stay there for every member. The choice is permanent. Account login and billing infrastructure remain US-based.
Can team admins read our meetings?
No. Admins manage people, seats, and billing. They can’t open anyone’s private Sessions, transcripts, notes, or personal Topics. They see a Session only after its owner assigns it to a Team Topic, the same way every teammate does.
Does meeting audio leave the device?
Not by default. Hedy transcribes on each member’s device, and conversation audio never reaches Hedy’s servers.
What do Team Topics share?
When a member assigns a finished Session to a Team Topic, everyone on the team can read its transcript, recap, notes, and to-dos. Each person’s chat with Hedy and their audio are never shared.
Do Team Topics need Cloud Sync?
Yes. Teammates read shared Sessions from the cloud. If your organization sets Cloud Sync to Always off, Team Topics aren’t available.
How much does Hedy for Teams cost?
$12.99 per seat per month or $99.99 per seat per year, in US dollars plus applicable tax. A subscription has between 2 and 200 seats. The launch price stays locked in for as long as your subscription stays active.
Is there a free trial?
No. Hedy for Teams costs the same per seat as Hedy Pro, so there is no separate trial. Anyone can try Hedy on the free plan with a personal account first.
